7 signs it's time to switch IT providers.

Switching IT providers can feel risky, so most Australian businesses put up with a mediocre one for far longer than they should. Here are the signs we hear about most often from new clients, and what they were actually costing them.

1. Support tickets sit for days

A "business hours" SLA that quietly stretches to two or three days is a red flag. If nobody can tell you what your average response and resolution time actually is, that's often because it isn't being measured, or it isn't good.

2. Invoices don't match what you agreed to

Unexplained "project fees", after-hours callout charges you were never warned about, or licensing costs that creep up every renewal, if your invoice needs a phone call to understand, something's wrong with the relationship.

3. You've never seen a security report

If you can't say with confidence whether your backups are tested, your endpoints are patched, or multi-factor authentication is actually turned on everywhere, you're flying blind. A provider that can't show you this data probably isn't tracking it.

4. Every conversation is technical, not business

Good IT partners translate technology into business impact: risk, cost, growth. If every conversation is jargon and acronyms with no context for what it means for you, it's a sign the relationship is transactional rather than strategic.

5. You're the one flagging problems

Proactive monitoring should catch failing hardware, low disk space and suspicious login attempts before you notice anything. If your team is always the first to spot an outage, monitoring either isn't in place or isn't being actioned.

6. There's no documented plan for disaster

Ask your current provider: "If our server died tomorrow, what's the plan, and how long would it take?" If the answer is vague, you don't actually have a continuity plan, you have a hope.

7. Growth feels harder than it should

Onboarding new staff, opening a second site, or adopting a new system shouldn't be a fight. If every change request takes weeks and feels like an imposition, your provider has stopped scaling with you.
